Below are Domaine Polleur's general terms and conditions. General (reservation) conditions Domaine Polleur and the code of conduct.
- Arrival and departure
The arrival and departure times of the pitch or accommodation you have reserved are listed on the website and/or your confirmation. - Price
The rates listed on the website are the currently valid prices, but are not binding. The rates in the brochure are generally valid for the calendar year in question. The rates communicated in the brochure are subject to possible printing errors, unforeseen changes in VAT surcharges/ levies/government surcharges or actual obvious mistakes, and remain unchanged during the calendar year in question, with the exception of special offers. Online (website) rate calculations are not binding if different from the applicable rates in the brochure. Domaine Polleur reserves the right to change prices and/or charge a supplement, for example as a result of (but not limited to) a change in energy prices. - Booking
Reservations can be made via the website, by telephone or at reception. Online reservations are not binding, binding changes may be made on arrival according to the general
conditions and applicable rates in the brochure. - Payments/booking guarantee/voucher
- 4.1 Payment terms
Upon receipt of confirmation, 50% of the total rental fee must be paid within 1 day. Payment of the remaining amount must be credited to the account or paid in cash at the campsite 6 weeks before the date of arrival. For reservations made within 6 weeks of the date of arrival, the total amount must be paid in full 1 day after the reservation. Payment must always be made in full prior to your stay at Domaine Polleur. If payments are not made (in full or in part) by the deadlines we set, we reserve the right to charge additional fees or cancel the reservation altogether. - 4.2 Reservations made from 2021 onwards for season 2021 the following applies:
Upon receipt of confirmation, 15% of the total rental fee is due within 1 day. Payment of the remaining amount must be credited to the account or paid in cash at the campsite 6 weeks before the date of arrival. If the reservation date is within 6 weeks of the arrival date, the total amount must be paid in full 1 day after reservation. - 4.3 (Corona) voucher (for already issued voucher in season 2020)
You will receive a voucher worth the amount paid for your reservation made.- The voucher (which is subject to a ministerial decree in Belgium) will be sent to you by e-mail within 3 weeks. You do not need to take any further action for this.
- Receiving and using this voucher will be seen as acceptance of the voucher and the terms of use that apply to it.
- The voucher is valid for 12 months, so your arrival date must be no later than the same date next year. General terms and conditions
- If you spend less than the value stated on this voucher, you keep the remainder of the voucher value. The date of issue and validity of the initially issued voucher will continue to apply. If you spend more than the value stated on this voucher, you will have to pay the difference between the amount actually spent and the value of the voucher.
- Should you wish to cancel after your voucher booking, a cancellation policy of 50% of your total booking amount of the initial booking applies.
- The voucher will be issued to the principal booker of the cancelled holiday. The main booker is the only one who can use this voucher for a new holiday. We therefore ask you to arrange this among your fellow travellers.
- You can hand in your voucher at no extra cost to the booking, rebooking is free of charge until 48 hours after booking, after which a rebooking fee of €25.00 applies.
- 4.1 Payment terms
- Deposit
For some rental accommodations or camping pitches, you are required to pay a deposit (cash) upon arrival. The deposit is indicated on your confirmation. On departure (during opening hours of the reception) the deposit will be refunded:- If the rental accommodation is left tidy and clean.
- The inventory and accommodation are still complete and undamaged.
- No nuisance has been caused to other guests of Domaine Polleur or its nearby residents.
- If the damage to the accommodation or the missing inventory is greater than the deposit paid before departure.
- Changes to confirmed reservations and refunds
- Rebooking to another accommodation free of charge is only possible if the rent is higher than the original rental sum. The difference must be paid on the spot (rebooking during your stay) or stay) or else within the period stated on the new confirmation.
- In the case of changes involving a partial cancellation (e.g. shortening of the reserved period or earlier departure), the cancellation conditions apply if, when making the reservation the reservation was paid for affiliation to the cancellation fund.
- For all other cancellations, in whole or in part, to which no cancellation fund is no refund of monies paid is possible.
- Refund of paid accommodation fees, taxes and environmental charges is not possible unless they are fall under the conditions of the cancellation fund and are applicable. And if, when paid for affiliation to the cancellation fund when making the reservation.
- Cancellation
- A cancellation will only be considered if requested in writing.
- A reservation can be cancelled or changed/rebooked free of charge 7 days after date of reservation, provided that the reservation was made 6 weeks before arrival.
- For a cancellation made between 7 days after the date of reservation and 6 weeks before arrival, 50% of the total rent will be charged.
- No refunds will be made for cancellations made less than 6 weeks before arrival.
- In case of earlier departure or later arrival than booked there will be no refund of payments made.
- Domaine Polleur reserves the right to cancel a reservation without giving a reason. Such cancellation may in no case give rise to the payment of compensation. In normal circumstances, the amount paid will be refunded. In case of special circumstances/ force majeure, for example: natural disaster, pandemic, war, internal or external force majeure (caused by external party or government), Domaine Polleur will issue a voucher, worth the amount already paid, which will be valid for one calendar year after the initial arrival date. The voucher issued is not transferable to third parties without the written consent of Domaine Polleur and is not convertible into a contact or giro asset.
- Cancellation Fund
Affiliation with the cancellation fund is not mandatory, but is recommended. By joining the cancellation fund you can safeguard yourself against the cost of cancellation of the rental accommodation or pitch. Cancellation requests must always be requested in writing.
be made. If cancellation is due to:- Serious accident, serious illness or death of:
a. the insured person.
b. his relatives by blood or by marriage in the 1st or 2nd degree. as well as his housemates, insofar as there is a chance of immediate danger to life. - Involuntary unemployment of the participating head of household through no fault of his/her own.
- Permanent breakdown of the marriage, for which divorce proceedings have been initiated after reservation. With this is equated the dissolution of a notarized cohabitation agreement. Conclusion of the cancellation fund is only possible at the time of booking. The cancellation fund provides coverage from the date of reservation until 14 days before the effective date of the reservation at the latest. To qualify for payment from the cancellation fund, a cancellation statement and sufficient supporting documents must be submitted. In case of cancellation there will be no refund of the reservation fee and the cancellation fund premium. The premium is 6.0% of the total amount of the stay. In case of the above circumstances, we will return 100% of the total cost of stay or rental excluding the reservation fee and cancellation fund premium.
- Refunds for a cancellation request in case of circumstances other than those mentioned above (1 to 3). The management will make a decision regarding the granting of your request. In case of granting, the following regulation will be applied:
a. 100% of the total cost of your stay or rental if cancellation occurs within 7 days from the date of the reservation confirmation, except for reservations made within 42 days prior to arrival.
b. 50% of the total cost of stay or rent, if cancelled between 7 days after the date of the reservation confirmation and 42 days before the date of arrival.
c. 25% of the total cost of stay or rental, for cancellation between 42 days and 14 days before the arrival date. - No refund
a. No refunds will be made for cancellations from 14 days before the arrival date. The total cost of stay or rental will be charged. Including the reservation costs and the premium for the cancellation fund.
b. In case of earlier departure than reserved due to the reason mentioned under point 1, there will be no refund of payments made. Unused vacation days may be used on a pro rata basis at another time in the same calendar year provided that sufficient accommodation is available for the newly selected period.
c. In case of later arrival than booked there will be no refund of payments made.
d. In circumstances not provided for in these conditions, the management will decide.
- Serious accident, serious illness or death of:
- Liability/rules of conduct.
- Domaine Polleur cannot accept liability for loss, theft, damage or injury caused to or by guests of Domaine Polleur or local residents, howsoever caused.
- Participation in activities organized by Domaine Polleur or third parties is at your own risk.
- All guests of Domaine Polleur or guests of third parties who rent accommodations or offer activities at Domaine Polleur must comply with the rules of conduct (available on the website, handed out upon arrival or mentioned on the confirmation).
- The guest(s) causing nuisance may, after a warning, be removed without refund of payments or deposit.
- Statements by Domaine Polleur employees, in whatever capacity, regarding the liability of Domaine Polleur / resellers / partners, do not bind Domaine Polleur.
- Refusal
We reserve the right to refuse guests at our sites who do not belong to our target group or those of our partners. Such as: (touring) traveling families or groups, (touring) traveling workmen, motorized associations, larger parties, etc., without prior written notice (letter or e-mail exchange) in the reservation or expressly and explicitly made known upon arrival and agreed upon. - Cookies
– Cookies
Through our website a cookie is placed by the U.S. company Google, as part of the “Analytics” service. We use this service to track and receive reports on how visitors use the website. Google may provide this information to third parties if Google is legally required to do so, or insofar as third parties process the information on Google's behalf. We have no influence on this. The information is transferred to and by Google and stored on servers.
- Remarketing Cookies
If you consent to the placement of cookies, this website uses forms of Remarketing to remind the visitor to this website a maximum of 7 times again, possibly through third party websites or Google. These third parties may display a text or image to remind the visitor of visiting one of Domaine Polleur's websites.
- Refusing or deleting cookies
You can set your browser to refuse new cookies during your next visit to our website. The way you can do this varies from one browser to another. Consult the help function of the browser you are using. There you can also find out how to delete previously placed cookies. If you no longer wish to receive cookies at all, you will have to change these settings on all browsers and on all computers you use. If you reject or delete cookies, you may not be able to use all the features of the website, or you may not be able to access parts of the website. - Deliveries
Deliveries of emergency medication is permitted by arrangement (on arrival or during the stay) at the reception. The delivery service is not allowed to deliver on the pitch or at the rental accommodation. Couriers drive fast which is dangerous for our guests. Delivery of any other goods or meals, other than urgent medical goods, are not permitted at the reception or elsewhere on the Domaine Polleur property. Please contact us for more information. - Modification clause
The recreation company is entitled to unilaterally modify the General Conditions. The latest version of the General Conditions can be found on our website or is available for consultation at the reception.
Code of conduct
Dear guest of Domaine Polleur,
Instead of house rules, we prefer to call it a code of conduct. There are some people who think that house rules are the same as "home rules. This is usually okay, because we think that these 'home rules' usually do not differ that much from our code of conduct. Nevertheless, to avoid misunderstandings, we hereby provide you with our code of conduct:
Speed and traffic signs
We aim for a maximum speed of 10 mph on our outdoor sites, at the mansion and campsite . This is set for the safety of yourself, your children and/or other campers and group members. 10 km/hour is slow, very slow, but then again, you are on vacation! Besides the 10 km signs, we have some other traffic signs, please respect them.
Rest
In order to give all guests the opportunity to rest during their stay, we request that you maintain silence from 11:00 p.m. to 8:00 a.m.. By the way, this is the same time period during which the barrier at the entrance/exit is closed. In order not to cause any nuisance to your "near and/or distant" neighbors, both during the day and at night, it is not desirable that your (car) radio, TV, singing, instrument or other sound-producing-sources are clearly audible at more than 8 meters from your pitch. Young people are urgently requested to stay after 23:00 in their own accommodation or specifically for camping guests: in the disco.
Water
Water is a scarce commodity. From the taps (and showers) comes drinking water, almost equivalent to 'Spa blue'. To avoid wasting drinking water, we would like to ask you not to let your children play with drinking water, we have a beautiful stream running alongside our accommodations with more than enough water to play with. To save the environment, all toilets on the campsite are flushed with water from the stream.
Stream
The stream (the Hoegne) that flows past the accommodations is protected nature reserve, for this reason no dams may be built in it. Fishing is not allowed without fishing permits. These permits can be obtained from the municipality of Theux and the tourist office in Spa, you will (unfortunately) need both. There is regular control by the forester.
Alcohol
Light alcoholic beverages are sold only to persons over the age of 16. Heavy alcoholic beverages are sold only to persons over the age of 18 (identification may be requested). Alcoholic beverages may only be consumed in the catering facilities or in/near your own accommodation. It is not permitted to consume alcoholic beverages at the pool area. Consumption of alcoholic beverages while walking around our grounds is not permitted.
Waste
It is the intention that you deposit your garbage in the large container that you can find at the entrance exit of the campsite or in the designated place on your accommodation. Glass and paper must be separated and can be deposited in the appropriate container which is next to the large container (camping). Litter is an eyesore! We strive to keep the grounds as clean as possible. Unfortunately, during the "traditional" paper picking, the largest amount of litter consists of candy wrappers, cigarette butts and beer caps. We therefore kindly ask you to keep litter to ZERO.
Dog waste
You can let your dog out in the woods on the other side of the connecting road (above the campsite). Should your dog, by accident, do his business earlier, please clean it up yourself with a plastic bag, newspaper and/or a bucket of water. At the laundromat you will find a dog waste bag dispenser.
Driveways and exits
The access and exit ramps are one-way streets, please respect this! For safety reasons, children are not allowed to use go-karts and bicycles on the ramps of the entrances and exits of the accommodations/terrain. If this does happen with go-karts or bikes, the children will be handed over to their parents or and the (rental) go-kart or (rental) bike will be confiscated without a refund of the rental fees.
In conclusion
Resolve conflicts among yourselves correctly, remain courteous and calm. People's character is different, but everyone wants to have a pleasant stay here. Together we work towards that goal. If you are not satisfied, please report it as soon as possible. We may have overlooked something, but we are only human. We can only deal with your comments if you report them to us personally. The Domaine Polleur team will always be willing to find solutions within a framework of possibilities and reasonableness.
We try with this code of conduct to make your stay and the stay of other guests as pleasant as possible. If you are bothered by your neighbors or other campers, please always report this to reception. We take your complaint seriously and will try to solve it (your complaint will always remain anonymous towards other campers).
